Privacy Policy
Introduction
This Privacy Policy describes how personal data is collected, used, managed, and protected within the LINiQ system, a linen-management and operational tracking platform owned and controlled by Dobi de Dixon Sdn. Bhd. (“Dobi de Dixon”). LINiQ consists of the administrative web portal, mobile applications for operational staff, backend services, reporting components, and RFID-enabled workflows. AMAST Sdn. Bhd. (“AMAST”) serves solely as a technology service provider engaged by Dobi de Dixon to develop, operate, and maintain the system on Dobi de Dixon’s behalf. All personal data processed within LINiQ is ultimately governed by Dobi de Dixon as the system owner.
Information We Collect
LINiQ collects personal information only to the extent required for system functionality and operational processes. This may include a user’s name, phone number, role or staff identifier, hotel or laundry partner affiliation, and login credentials. When users access the portal or mobile applications, the system records authentication details and activity logs such as login timestamps, system actions performed, and device information. For driver-related modules, approximate location data may be captured to coordinate pickups and deliveries. The system also processes operational records, including job orders, delivery orders, guest laundry entries, inventory updates, rejection notes, and workflow timestamps. RFID scan data, such as tag identifiers and scan timestamps, is collected for linen traceability across facilities. While RFID information does not directly identify individuals, it forms part of the operational records associated with designated user roles. Usage analytics, error logs, and system performance data may also be collected to support improvements and troubleshooting.
How Your Information Is Used
Dobi de Dixon uses personal and operational data within LINiQ to enable system functionality, support linen tracking, coordinate daily operations, and fulfil contractual obligations to hotels and laundry partners. The data allows for accurate linen movement tracking, inventory control, operational accountability, and reporting across locations. It is also used to facilitate communication, enforce role-based access control, investigate issues, maintain security, and ensure compliance with relevant operational requirements. AMAST may process the data only as required to perform its service provider responsibilities, such as system maintenance, performance monitoring, troubleshooting, and security enhancements. AMAST does not use LINiQ data for its own purposes, and all processing is carried out under Dobi de Dixon’s instruction.
Data Sharing and Disclosure
Data within LINiQ may be shared among authorised Dobi de Dixon personnel and relevant hotel or laundry partner representatives where necessary for operational execution and traceability. Third-party service providers may also process data in connection with specific LINiQ functionalities, such as cloud hosting, reporting engines, monitoring tools, or communication services. These parties operate under contractual obligations to safeguard confidentiality and use the data solely for defined LINiQ-related purposes. Data may be disclosed when required by law, regulatory directives, or to protect the integrity, rights, and safety of Dobi de Dixon, its clients, and users of the system.
Data Security
LINiQ employs industry-standard security measures designed to protect personal and operational data from unauthorised access, loss, alteration, or misuse. These measures include controlled access mechanisms, encrypted transmission, multi-tenant isolation, monitoring of system activity, and regular review of platform integrity. Although robust safeguards are in place, no digital system can guarantee absolute protection due to the nature of online and cloud-based environments.
Data Retention
Personal data is retained only as long as required for operational needs, contractual obligations, or compliance with applicable laws. Operational records—including RFID-based traceability data, delivery logs, and inventory transaction history—may be stored for extended periods where necessary for auditing, reporting, or business continuity. Once data is no longer required, it will be handled according to Dobi de Dixon’s retention and disposal policies.
User Rights
Users may request access to or correction of the personal data stored about them within the LINiQ system. Requests may also be made regarding data removal or restrictions on processing, subject to operational, contractual, and regulatory limitations. As LINiQ supports traceability and accountability functions, certain records essential for audit trails or operational integrity may not be modifiable or deletable upon request.
Changes to This Policy
This Privacy Policy may be updated periodically to reflect changes in system functionality, operational processes, or legal requirements. Dobi de Dixon will ensure that the updated version is accessible through the LINiQ platform and will communicate material changes where appropriate.
